LongRun
Automation

Outbound runs on 68 production workflows

Behind every campaign we operate sits an automation layer most agencies do by hand: replies classified by AI in seconds, deals created in your CRM automatically, mailbox health checked on schedule, reports assembled overnight. Built on self-hosted n8n, documented, and handed over with everything else.

Why it matters

Speed to lead is a systems property.

A positive reply is worth the most in the first hour. Agencies that route replies through a VA checking inboxes twice a day burn that window every single time. Our reply pipeline classifies, syncs and notifies in seconds, with an AI-drafted response waiting in Slack, so the only human step left is the one that should be human: approving and sending the reply.

The same logic runs everywhere else. Mailboxes get placement-tested on schedule and tagged through their lifecycle automatically. Prospects who finish an email sequence without replying flow into LinkedIn campaigns. Out-of-office replies get return dates extracted and honored. None of this is manual, which is why none of it gets skipped.

What we automate

The work nobody should do by hand.

Every item below is a production workflow running today, not a roadmap slide.

AI reply categorizationEvery reply classified in seconds: interested, objection, referral, unsubscribe, auto-reply. Built on an SOP distilled from 607 classified prospect replies.
Slack routing with AI-drafted responsesPositive replies land in your channel with a suggested response ready to approve, edit or rewrite. Your team replies in minutes, not days.
Auto CRM deal creationInterested replies create deals in HubSpot, Pipedrive, Attio, Monday or Salesforce with full context attached, mapped to your pipeline stages.
Unsubscribe & compliance handlingOpt-outs honored instantly and synced to suppression lists across every campaign. No awkward second touch.
Out-of-office intelligenceReturn dates extracted from auto-replies; prospects re-engaged after they are back at their desk, not while they are away.
Sequence-finished handoffsEmail non-responders flow automatically into LinkedIn campaigns with full context, so the second channel picks up where the first stopped.
Mailbox health monitoringScheduled inbox placement tests on every mailbox, lifecycle tags from warmup to healthy, and instant alerts when a mailbox disconnects or degrades.
Signal watchersJob-posting and news monitors per client that surface trigger events for timely outreach.
Reporting pipelinesCampaign data flows nightly into Looker Studio dashboards; weekly summaries post to Slack on their own.
Error monitoring & self-healingFailed workflow runs alert instantly and retry automatically. Broken automations get fixed before they cost a reply.

FAQ

Automation questions, answered.

What actually happens when a prospect replies?
Within seconds, an AI workflow classifies the reply: interested, objection, referral, unsubscribe, or out-of-office. Interested replies create a deal in your CRM automatically, land in your Slack channel with an AI-drafted response ready to approve, and get logged against the contact's full history. Unsubscribes are honored instantly. Out-of-office replies get a return date extracted and the prospect is re-engaged after they're back.
Which CRMs do your automations support?
In production today: HubSpot, Pipedrive, Attio, Monday.com and Salesforce, plus Google Sheets for teams that aren't on a CRM yet. Each client gets a dedicated integration workflow mapped to their pipeline stages and field conventions.
What platform do the automations run on?
Self-hosted n8n on our own infrastructure, not a shared SaaS account. Workflows call the Email Bison, HeyReach, Clay and CRM APIs directly, with AI classification through OpenAI and Claude. Self-hosting means no per-task pricing surprises and full export rights.
Do we keep the automations after the engagement?
Yes. Automation workflows are part of the day-90 handover, along with everything else: the workflow definitions, documentation and a walkthrough so your team can run, modify or migrate them.
Can you automate our existing sales process, not just outbound?
That's the RevOps Build tier: a 30 to 60 day project that audits your CRM, rebuilds the pipeline structure, and adds the automation layer: meeting transcripts into the CRM, AI categorization, dashboards and SOPs.
Do you need admin access to our CRM?
We need enough access to create properties and connect the integration: typically a dedicated integration user with scoped permissions, which your admin controls. We document every change we make.
We have a messy CRM. Will this make it worse?
No: outbound data arrives in its own clearly mapped properties and pipelines, and we agree the structure with your team before anything syncs. Most clients end up with cleaner reporting than they started with.

How fast does your team touch a hot reply?

If the honest answer is "hours", the system is leaking pipeline. Book a strategy call, or see the full GTM system overview.
